Privacy Policy

The short version

We don't store your audio. We don't store your transcripts. We don't train models on your meetings. Your brief is delivered to your screen and your inbox, and that's it.

What we collect

  • Email address - to deliver your brief and the magic link for multi-brief packs.
  • Payment reference - to verify your payment and prevent replay attacks. Stored permanently against your email.
  • IP address and browser fingerprint - used only for free-tier abuse prevention. Not linked to your brief content.

What we do not collect

  • Audio recordings (deleted immediately after brief generation).
  • Transcripts (held in memory only long enough to generate the brief).
  • Meeting briefs (delivered then dropped from memory).
  • Personally identifiable information beyond your email.

Third-party processors

Trootone uses external services to process your data as part of delivering the product. These include a speech recognition provider that receives your audio file for brief generation only and does not use API submissions for model training. A language intelligence provider that receives your transcript to generate the brief and does not use API submissions for training. A payment processor that handles your transaction and from whom we never receive your card details. An email delivery service that sends your brief to your inbox. A bot protection service used on free tier verification and contact forms that does not collect personal data.

Data retention

  • Audio: deleted within seconds of brief generation.
  • Transcripts: never persisted.
  • Briefs: held in memory until delivery, then dropped.
  • Export files (PDF/DOCX/TXT): deleted from disk after 2 hours.
  • Payment references and emails: kept for accounting purposes.

Your rights

You can request deletion of your email and all associated payment references at any time by emailing hello@trootone.com. We comply within 30 days.
